Position Summary:

The Field Leadership Operations Specialist is a Chief-of-Staff-style operations role that centralizes the tactical execution work currently handled by the AMER enablement team (e.g., all-hands prep, recurring communications, coordination, and reporting).

 

This temporary role creates leverage for enablement leaders to focus on strategy, stakeholder alignment, and business outcomes by owning the day-to-day operational, coordination, and presentation-building activities that keep the organization running.

Key Responsibilities

  • Remove recurring Chief-of-Staff-type tasks from enablement teams (deck creation, meeting orchestration, logistics, follow-ups).
  • Improve consistency, quality, and timeliness of field communications, leadership meetings, and operational rhythms.
  • Provide a single point of accountability for tracking actions, owners, and deadlines across multiple workstreams.
  • Demonstrate the ongoing need for dedicated operations support so leadership teams can focus on higher-value strategic work.

Scope of WorkExecutive & Field Meeting Operations:

  • Own planning and logistics for recurring leadership and field meetings across Business Unit verticals (all-hands, staff meetings, regional calls, industry meetings).
  • Create and maintain meeting agendas in partnership with leaders; gather inputs and materials from stakeholders.
  • Capture notes, decisions, and action items.
  • Maintain trackers and ensure follow-through ahead of the next meeting.

Presentation and Content Creation (Non-Enablement):

  • Build, polish, and update field-facing presentations (all-hands, business updates, org announcements) using existing content, data, and guidance from leaders.
  • Standardize templates, branding, and story flow so decks feel cohesive and professional across the organization.
  • Consolidate input from multiple teams into single narratives, ensuring clarity, accuracy, and visual quality.

Communications & Rhythm of Business:

  • Draft and send internal communications on behalf of leaders (weekly updates, announcements, recap emails, reminders).
  • Maintain a “rhythm of business” calendar that includes major meetings, deadlines, announcements, launches, and reporting cycles.
  • Coordinate with cross-functional partners so overlapping communications and requests are sequenced and not conflicting.

Coordination, Tracking, and Follow-Through:

  • Maintain shared trackers for key initiatives, action items, owners, and due dates.
  • Proactively chase updates, close loops, and surface risks or slippage to leaders ahead of time.
  • Prepare concise status summaries and talking points leaders can use in their forums.

Reporting and Light Analysis:

  • Pull or receive data from partner teams (e.g., pipeline snapshots, program status, headcount/coverage, key initiatives) and incorporate into leadership content.
  • Build simple views (tables/charts) in Excel/Sheets and slides to make information easy to consume in meetings.
  • Flag trends and gaps while leaving strategic interpretation and decision-making with leadership and strategy teams.

Process Documentation & Optimization:

  • Document key operational workflows (e.g., how all-hands are run, how QBR prep works, how actions are tracked) to make them repeatable and scalable.
  • Identify simple process improvements that reduce manual work or confusion for leaders and stakeholders.

Deliverables:

  • Standardized templates and recurring decks for all-hands, staff meetings, and key leadership forums.
  • Up-to-date operating calendar for leadership and field-facing activities.
  • Consolidated trackers for initiatives, actions, and owners, maintained weekly.
  • Meeting notes and action logs for key recurring forums.
  • Monthly summary of operational activities, risks, and recommendations for process improvements.

 

Required Skills & Qualifications

  • 3–5 years in Chief of Staff, business operations, internal communications, or executive support roles (or equivalent experience).
  • Proven experience supporting senior leaders or field organizations with meeting operations, deck creation, and internal communications.
  • Excellent written and verbal communication; strong storytelling and slide-building skills (PowerPoint/Google Slides).
  • Strong spreadsheet skills (Excel/Sheets) for organizing data, building simple reports, and maintaining trackers.
  • Highly organized, detail-oriented, comfortable managing multiple workstreams and deadlines.
  • Ability to work with sensitive information and exercise discretion and judgment.
