Job Description:

We are seeking a skilled and dynamic Operations Manager/Program Manager to oversee and optimize operations within our Professional Services division. The ideal candidate will play a pivotal role in managing, streamlining, and enhancing operational processes using FinancialForce (PSA) and related tools. This individual will be responsible for ensuring project delivery, resource management, and operational efficiency, contributing directly to customer satisfaction and company growth.

Key Responsibilities:

  • Operational Management:
    • Drive operational excellence by implementing and maintaining best practices within Professional Services.
    • Oversee the effective use of FinancialForce for project planning, resource allocation, time tracking, and reporting.
    • Establish KPIs and performance metrics to measure and enhance team productivity and project outcomes.
    • Collaborate with finance and accounting teams for accurate revenue recognition, invoicing, and forecasting.
  • Program Management:
    • Manage multiple complex Professional Services projects/programs, ensuring timely delivery and customer satisfaction.
    • Develop project plans, schedules, and budgets, monitoring progress and addressing risks proactively.
    • Act as the central point of contact for stakeholders, facilitating communication and alignment across teams.
    • Lead cross-functional teams to deliver initiatives aligned with company objectives.
  • Resource & Capacity Management:
    • Optimize resource allocation using FinancialForce to ensure the right skills are deployed for the right projects.
    • Conduct regular capacity planning to ensure adequate coverage and anticipate future needs. 
    • Identify resource gaps and collaborate with recruitment to address them.
    • Continuously analyze and improve operational workflows to increase efficiency and reduce bottlenecks.
    • Leverage data and insights from FinancialForce and other tools to recommend enhancements.
    • Provide training and support to the Professional Services team on best practices and tool usage.
    • Create dashboards and generate reports in FinancialForce to monitor project health, team utilization, and financial performance.
    • Present findings and recommendations to senior management for strategic decision-making.
    • Ensure compliance with internal policies and industry standards.

Qualifications and Skills:

  • Education: Bachelor’s degree in Engineering, Business Administration, Operations Management, or a related field.
  • Master’s degree (MBA) or relevant certifications (e.g., PMP, PRINCE2, Six Sigma) is a plus.
  • Experience:
    • 5+ years of experience in operations, program management, or professional services, preferably in a SaaS or technology company.
    • Hands-on experience with FinancialForce Professional Services Automation (PSA) or similar tools is required.
    • Proven track record of managing multiple projects/programs simultaneously with high efficiency.
    • Strong analytical skills with the ability to interpret data and make data-driven decisions.
    • Excellent communication and stakeholder management abilities.
    • Proficient in tools like Salesforce, FinancialForce, MS Excel, and project management platforms (e.g., Smartsheet, Jira).
    • Familiarity with revenue recognition and financial principles in a Professional Services context.
    • Change management and process optimization experience.
    • Knowledge of Agile and/or Waterfall project management methodologies.
